How to set up an announcement-only Chat Space in Google Chat.

In Google Workspace by Kimbley IT, you get access to Google Chat. This chat and collaboration tool makes it easy for you to message your team, work on projects and collaborate on documents. There are many different types of Chat Spaces (Rooms) you can configure.

One of the newest additions is "Announcement Only" Chat Spaces. These chat spaces are perfect for sharing information with your team. Team members can still acknowledge the announcement with an emoji! 😉 Or you can set the space so members can reply in-line to an announcement; this is controlled under the settings for the individual Chat Space.

Examples of Announcement-Only Chat Spaces

One of our accountancy clients uses an announcement-only chat space to let team members know when a client has called, but they were unavailable to take the telephone call.

When reception takes a call, they will attempt to transfer the call to the relevant team member, but if that member is unavailable, they will leave a message in their "Missed Calls" announcement space - detailing who called and any message left. At the same time, tagging the team member into the message so they get a notification. All the team member then needs to do is leave the👍emoji to show they have acknowledged the announcement.

Another client uses an Announcement Space to proudly announce to the company new business wins, tagging the individual who won the new business. So everyone can celebrate with a shower of emojis! 🥳🙌🎈

Follow these instructions to set up an Announcement Chat Space

  • Open Google Chat.

  • Next to Spaces, click the + icon.

  • Then select Create a space.

  • Pick an icon and name your Space.

  • Select Announcements.

  • Pick if you want external members to be able to join.

  • Then click Create.

You have now created an announcement-only chat space. Initially, you will be the only Space Manager and, therefore, the only person who can post announcements. To add additional Space Managers, you can do this through the Manage Members settings of the Chat Space. Anyone who is a Space Manager will be able to post announcements.
